Know the different roles to assign to members on the platform 👨‍🍳

💡 Now that you've set up your Welcome to the Jungle Solutions platform, it's time to decide who to open access to and what roles to assign to each member of your team. This article guides you through managing users and assigning the appropriate roles.

⚠️ This article is intended only for users with the Administrator or People Manager roles who can manage access for other employees from the Admin Space.

🧠 Understanding roles 

On Welcome to the Jungle Solutions, every member has two levels of access:

  • An organization-level role (global status)
  • Product-specific roles (ATS, Employer Brand, etc.)

Organization-level roles :

Every member is a Collaborator by default, and three hats can be added:

  • Administrator: full access to all functionalities
  • Billing management: can manage financial aspects
  • User management: can invite and manage other members' access.

🔑 Specific roles in ATS

In ATS, three statuses are available:

🔐 Admin

  • Can do everything in the tool
  • Full access to all functionalities
  • Can manage payment terms
  • Can create a career site

🔑 Simple member

  • Can do everything in the tool except:
    Managing payment methods
    Creating a career site

🔒 Restricted membership

  • Can only view applications for offers to which they are assigned recruiters
  • Cannot create offers
  • Cannot edit offers already created

⚠️ Important: A restricted member will have access to all applications related to jobs to which they are assigned, even if some applications are archived. All comments and assessments are open to any member who follows the job offers.

Questions to ask yourself :

  • Should only HR teams be able to post jobs?
  • Do you want certain teams to be able to invite other employees?
  • Do you want to limit access to data for RGPD reasons?

Our recommendations:

  • To publish/republish offers: minimum Simple member role
  • To invite other collaborators: "User Management" or "Administrator" access required
  • Have at least 2 administrator members in case of absence, as Welcome to the Jungle cannot open access to a member for RGPD reasons

❓FAQ - Frequently Asked Questions

Q : How many licenses can I use? 
A: You have an unlimited number of licenses, so there's no need to restrict yourself.
Q: How many administrators do I need? 
A: We recommend you have at least 2 administrator members to avoid any access problems in case of absence.
Q: Can a restricted member see all applications? 
A: Restricted members can see all applications for the jobs to which they are assigned, including archived applications.
Q : Can I hide certain information from certain members? 
A: No, you can't hide information such as packages. All comments and ratings are visible to members who follow the offers.
Q: What happens if I forget my password and I'm the only admin? 
A: Welcome to the Jungle cannot open access to a member for RGPD reasons. That's why we recommend having several administrators.
