π‘ If you want to manage email notifications when interacting with candidates, then this article is for you!
π¨ Set up notifications from the first time exchanging with a candidate
When you communicate with a candidate through our ATS, you can receive email notifications when they reply to you.
This feature is particularly useful when you're waiting for confirmation from a candidate after proposing them an interview!
During your first exchange with the candidate, after writing your own message or using an email template, simply check the box "Subscribe to this application to be informed of future discussion":
Once the e-mail has been sent, you will automatically track this application and receive an email notification as soon as the candidate has replied.
β οΈ If you leave the box unchecked, you will not be able to track the candidate's record, and if the candidate responds to you, an email notification will be sent to the other members assigned to the job to which the candidate has applied. This is a "safety" feature of our tool to prevent the candidate from remaining unanswered.
π The "Follow" function on a candidate record
You can follow several candidates to receive notifications as soon as one of them replies to you or one of your colleagues adds a comment to a record.
You can also invite other recruiters to follow a candidate's record. To do this, click on the icon to the left of the "Follow/ Unfollow" button. A list will appear, and all you have to do is select the recruiter of your choice:
Notified recruiters will be underlined in yellow with a small "β" icon.
To stop following a candidate's record, click on the "Unfollow" button in the top right-hand corner of the candidate's record:
Once this action has been completed, you will no longer receive any notification emails concerning this candidate form.
β οΈ If the candidate sends an email and no other recruiter is following their profile, the notification will be sent to all recruiters associated with the job (as well as to restricted members).
π Manage notifications for multiple actions
Please note that sending emails through a multiple action does not automatically assign candidate records to the recruiter who initiated the action.
For example, when you send a rejection email to all the candidates in the same column:
- If you've already had at least one conversation with each candidate and are following each record, you'll be notified by email when one of them responds. If other recruiters follow these records, they will also be notified.
- If you have never exchanged emails with these candidates and no other recruiter follows their record, if one of the candidates replies, the notification will be received by all members assigned to this job (even restricted members). Once again, this is linked to the way our ATS works, so that no candidate's email is left unanswered.
If you wish to filter the reception of responses from rejected candidates, we recommend that you create a specific recruiter account, which will be in charge of this follow-up.
The recruiter must make sure that they are the only one following each form in the column before taking the multiple action. In this way, they will be the only person to receive a response from a candidate.
